Customer Relationship Management (Client CRM) — FAQ

Managing your own clients as a recruiting agency, answered directly.

2 min read · Updated July 2026 · Expertini Editorial

Client CRM is the agency-facing side of Expertini ATS — for recruiting agencies and independent recruiters who work for multiple hiring companies at once, not for direct in-house HR teams hiring for their own company.

01Setting up a client

A client record holds their industry, size, contact details, and commission model — either a percentage of the filled role's salary or a flat fee. Jobs can then be linked to that client when posted.

02Confidential postings

A job linked to a client can be marked confidential — candidates and the public then see an auto-generated description (e.g. "a mid-size fintech company") instead of the client's real name, generated from the client's own industry/size data rather than requiring a manual write-up per job.

03Commission and earnings

Realized and projected commission are computed automatically from each linked job's salary and the client's commission model, visible on the client's detail page — strictly internal, never shown to the client themselves.

04Client reports and the Review Portal

A generated report shows the client what was submitted, how long it took, and an estimated market-rate savings figure (using a recruiter-editable comparison percentage, not proprietary data). The Client Review Portal is a separate, tokenized link where the client can view candidates you've explicitly shared, leave feedback, and request interviews — no login required on their end, and commission figures never appear there.

Frequently asked questions

Does the client see how much commission we're earning?
No — commission and earnings figures are strictly internal. The Client Review Portal only ever shows candidates, timeline, and feedback.
Can a client see candidates I haven't submitted yet?
No — a candidate only appears on the Client Review Portal once you explicitly mark that specific application as shared.
Is Client CRM available on every plan?
It's available from the Professional plan upward, alongside Candidate CRM which is included on every plan including Starter.
Can we work for several clients with conflicting confidentiality needs?
Yes — confidentiality is per-job, each portal link is per-client and tokenized, and no client can ever see another client's existence, candidates, or terms. The isolation is structural, not a setting you could misconfigure.
How does the "market-rate savings" figure on client reports work?
It compares your fee against a recruiter-editable market-comparison percentage — deliberately editable and visible, so the figure is an honest, adjustable estimate you stand behind rather than a black-box number we generate about your own pricing.
What happens to a client's jobs if we stop working with them?
The client record and its linked history stay in your account for your own records and reporting — deleting a client is an explicit owner/admin action, not a side effect. Candidates in those pipelines remain part of your talent pool per the normal retention rules.
We're an in-house team, not an agency — do we need any of this?
No — skip it entirely. The direct employer path never touches Client CRM, and nothing about the core pipeline depends on it.

At a glance

  • Commission model: percent-of-salary or flat fee, per client
  • Confidential postings auto-mask identity from industry/size data
  • Commission/earnings are internal-only, never shown to the client
  • Client Review Portal needs no client login — just a secure link
  • Nothing is shared with a client until you explicitly toggle it
